How to send an invoice on WhatsApp (and get paid faster)

Two ways to send an invoice on WhatsApp — a PDF or a link — plus a message template that gets read, the wa.me link format, and how to follow up without sounding rude.

Short answer: send a short message with the invoice number, the amount, the due date and a link to the invoice, then attach the PDF only if the client asks for it. A link lets the client see what is still owed and your payment details on any phone, and it is easy to resend. To open a chat with the message already typed, use a wa.me link.

Why send an invoice on WhatsApp at all?

Because that is where many clients actually reply. For a small agency owner in Dubai or a shop owner in Lahore, an email from a freelancer can sit unread for days while WhatsApp gets answered in minutes. The invoice is still a formal document; WhatsApp is just the envelope.

It does not replace email for every client. A company with an accounts team usually wants invoices at a billing address so they enter the approval queue. Ask once — "Where should I send invoices?" — and use the answer for every invoice after.

A PDF is a snapshot; a link is the live invoice. Send the link by default and keep the PDF for clients who need a file for their records.

If you only have a PDF — say from the free invoice generator — send it anyway, but write the amount, due date and payment details in the message too. Nobody should have to open the attachment to know what you want.

A message template that gets read

Keep it to three lines: who it is for, what is owed by when, and where to pay. This is the wording Inbill prefills when you tap Send → WhatsApp; it works just as well typed by hand.

Three small things help. Use the client's name. Write the amount with its currency, so a dollar invoice is never mistaken for rupees. And sign with your business name, so the message still makes sense when it is forwarded to whoever pays.

Open the chat with the message already typed (wa.me)

WhatsApp's click-to-chat links open a chat with a number and, optionally, a prefilled message. Per WhatsApp's Help Center, the format is https://wa.me/<number>?text=<urlencoded text>, where the number is in full international format with no zeros, brackets or dashes in front. A Pakistani mobile written as 0300 1234567 becomes 923001234567; a UAE number 050 123 4567 becomes 971501234567.

Leave the number out (https://wa.me/?text=…) and WhatsApp asks you to pick a contact. That is handy for a client whose number you have not saved.

Make paying a single tap

The fewer steps between reading and paying, the sooner money moves. The page behind an Inbill invoice link shows the balance due and your payment methods: a Pay with Payoneer or Pay with Wise button when you have added those pay links, and copy buttons for bank (IBAN, SWIFT), JazzCash, Easypaisa and Raast details. If the client pays some other way, they can tap I've paid and tell you how; you confirm it before anything is marked paid.

How to follow up on WhatsApp without being rude

Reply in the same thread so the invoice link is right above your message, and step the tone up gently: a reminder a few days before the due date, a clear note on the day, and a firm one once it is late. Delay costs you more than you think. One freelancer of ten years put it on Hacker News in 2026: "the further away you get from a bill, the less real it becomes to the person who owes it."

When one client owes for several invoices

Do not send five links in five messages. Send one statement: each open invoice with its amount and link, and the total outstanding. Is it safe to send an invoice link on WhatsApp?

Treat the link like the invoice itself: anyone who has it can view that invoice, so send it to the client only. Inbill links use a long random token rather than an invoice number, and you can regenerate a link from the invoice menu if one was shared by mistake — the old link then stops working.
