Feature · Recurring invoices

Invoices that go out on time, every time.

A recurring invoice is one Inbill sends on a schedule, so a retainer or a monthly fee bills itself. Pick an invoice, choose every week, month, 3 months or year, and set when it ends. Each new invoice gets its own number and link. It works on every plan; on Free each one counts toward your 10 a month.

Who it is for

Same client, same amount, every month

Retainers, monthly support, rent for a desk or a room, tuition, hosting, cleaning contracts, a weekly coffee delivery. If you bill the same client the same thing on a rhythm, a schedule saves you from remembering and from copying last month's invoice by hand.

What you can set

  • How often: every week, every month, every 3 months or every year.
  • Start: the date of the first invoice the schedule creates.
  • End: never, after a number of invoices, or on a date.
  • Remind me: a note to you before each one is created, from 10 minutes to 1 week ahead.
  • Auto-email: off by default. Turn it on to email each new invoice to the client straight away.

The schedule is checked every hour, so a new invoice appears within the hour it is due. You can also set up a schedule by asking the voice assistant: "bill Brightwave 1,200 dollars on the 1st of every month".

Staying in control

Why auto-email starts off

A recurring invoice that goes out with last month's hours, or to an old email address, is worse than a late one. With auto-email off, each new invoice waits as a draft so you can check it, then send it on WhatsApp or by email in one tap. Turn auto-email on once you trust the amounts.

Questions people ask

How do I set up a recurring invoice?

Create the invoice once, then turn on "Recurring" on it. Choose how often (every week, every month, every 3 months or every year), the start date, and when it ends: never, after a number of invoices, or on a date. Save, and the schedule takes over.

Is the new invoice emailed to my client automatically?

Only if you turn on "Auto-email when generated", which is off by default. With it off, each new invoice is created as a draft and you choose how to send it: WhatsApp, email, a link or the PDF. With it on, the invoice is emailed to the client's saved email address as soon as it is created.

Are recurring invoices free?

Yes, on every plan. On Free, each invoice the schedule creates counts toward your 10 invoices a month. If you have already used them, that invoice waits and is created when the month resets or you upgrade. Pro ($5 a month) removes the limit.

What changes from one invoice to the next?

Each one gets the next invoice number, a new link for your client and a due date the same number of days after the issue date as the original. The lines, amounts, currency, notes and payment details are copied from the invoice you started from.

Do overdue recurring invoices get reminders?

Yes. Every invoice the schedule creates is a normal invoice, so the automatic payment reminders apply to it once it has been sent, unless you switch reminders off for it.

Can I pause or stop a schedule?

Yes. A schedule can be paused and resumed, and it stops on its own after the number of invoices or the end date you picked.
