Feature · Client ledger
Every client's balance, one currency at a time.
Inbill keeps a ledger for every client: each invoice, payment, advance, credit note and refund on one timeline, with a running balance in each currency. Rupees and dollars are never added together. Advances and overpayments become credit you can use on the next invoice. Statements and a private client page come with Pro.

Balances
One balance per client, per currency
Open a client and the top of the page shows Billed, Paid and Outstanding. If you bill that client in two currencies, you see two rows. Below is one timeline, newest first: invoices, payments, money received as credit, extra paid on an invoice, credit used, credit notes and refunds, each with the balance after it. Drafts stay out until you send them.
After two paid invoices, a private badge shows how the client pays: on time, sometimes late or often late, with the average days to pay. Set a follow-up date and the client shows up under Collect now on your dashboard that day.
Credit
Advances, overpayments and refunds
Tap Money received on the client's page. Pick the invoice it was for, or choose "No invoice (advance, kept as credit)". Before you save, a line tells you what will happen, for example that it pays the invoice in full and keeps the rest as credit.
When a client has credit, you see it in that currency with two buttons: use it on an open invoice (with Undo), or Record a refund. Inbill never sends money. You pay the client back yourself, then record it. More on this in what to do when a client overpays.
A credit note that cancels or reduces a sent invoice shows on the same timeline. See how to cancel an invoice.
Pro
Statement of account in one tap
Send statement writes a message that lists each open invoice with its amount, due date and pay link, and the total due in each currency. Edit it if you like, then send it on WhatsApp, copy it or share it to another app.
Statement PDF gives your client a "Statement of account" document with the same lines and balances as the ledger.
Pro
A private client page, with no login
Create one link for a client and they can open a page with all their invoices from you: what is open, what is paid, a link to each one, and any credit they can use or earlier balance due. Your client does not need an account. The page shows no contact details, and search engines are told not to list it.
Shared the link by mistake? Tap Replace link. The old link stops working, and each invoice's own link keeps working.
Every plan
Questions stay next to the invoice
On the page behind every sent invoice or quote, your client can type a message, such as "Which account should I pay into?". They do not need an account. You get an email, reply in the app, and your reply shows on the same page. You can choose to email it to them too.
The thread keeps the question and the answer with the invoice they are about, instead of lost in a chat. It is free on every plan.
Questions people ask
What is a client ledger?
A client ledger is the history of everything between you and one client: invoices, payments, credits and refunds, with the balance after each one. In Inbill it builds itself from the invoices you send and the payments you record.
How do I track what each client has to pay when I bill in different currencies?
Inbill keeps a separate balance for each currency on the client's page: billed, paid and outstanding. A client billed in dollars and rupees has two balances. They are never added into one total, because the exchange rate changes.
What is a statement of account?
A statement of account lists a client's open invoices and the total still due. In Inbill, Send statement writes it for you with a pay link for each invoice, and Statement PDF gives the full ledger as a document. Both are part of Pro.
What happens if a client pays more than the invoice?
Record the full amount with Money received on the client's page. The invoice is paid in full and the extra is kept as credit for that client, in that currency. You can use it on their next invoice, with an Undo, or record a refund once you have paid it back.
Can Inbill refund my client?
No. Inbill never sends or holds money. Pay your client back from your bank or payment app first, then tap Record a refund so the ledger matches.
Is the client ledger free?
Yes. The ledger, balances per currency, money received, credit, refunds and the message thread on each invoice are on every plan. Statements and the private client page are part of Pro ($5 a month).
Can my client see my notes about them?
No. The payment badge ("Pays on time", "Sometimes late", "Often late") and your follow-up dates are only shown to you. The client page shows their invoices and balances, not your notes or their contact details.
