How to create an invoice (the 11 fields every invoice needs)
Step-by-step guide to writing a professional invoice in 2026 — the 11 fields that should appear on every invoice, the right sequence, tax handling, and a free template you can fork.

Why the fields and order matter
An invoice isn't just a request for money — it is part of the commercial and tax record. In most jurisdictions an invoice must contain enough information to identify both parties, the goods or services delivered, and the amount owed. Tax authorities (HMRC, IRS, FBR, GCC VAT) and EU e-invoicing standards (EN 16931, UBL 2.1) all expect the same core fields. Missing fields delay payment because clients' AP teams can't process them, and missing tax fields cause audit issues during quarterly returns.
The 11 fields every invoice needs (in order)
Below is the canonical sequence — the same order used by every major invoicing tool, from Wave to FreshBooks to Inbill. Following this order is not a style preference; it matches how human readers and AP automation software both scan an invoice. Disrupt the order and you slow down payment.
1. The word "Invoice"
Top of the page, prominent, in display type. The word "Invoice" must be visually unmistakable — many AP automation tools use the presence of this word as a first-pass filter to distinguish invoices from quotes, receipts, or statements. If you label the document "Bill" or "Statement", expect a fraction of clients to mis-route it.
2. A unique invoice number auto in Inbill
Sequential, not random. Use a prefix-and-counter format like
ACME-2026-0042 — the prefix anchors it to your business, the
year segments your records, and the counter ensures uniqueness. Sequential
numbering is required in many VAT systems; local rules determine how gaps,
cancellations, and credit notes must be recorded. Inbill auto-generates the next number from
MAX(invoice_number) with a unique database constraint that prevents
collisions even if you create two invoices in parallel tabs.
3. Issue date
The date you sent the invoice. Format as ISO (2026-04-30) or
written ("30 April 2026") — but never ambiguous (avoid 04/05/2026
which means May 4 in Europe and April 5 in the US). The issue date anchors
the payment terms and the tax period.
4. Due date
Issue date + payment terms. "Net 30" means due 30 days from issue. For freelancers, Net 14 is increasingly the norm — it gets you paid faster and most clients don't push back. State the date explicitly, not just the terms — "Due: 30 May 2026" beats "Net 30" because no one has to do mental arithmetic.
5. Your business identity set once in Inbill
Legal business name, address, contact email, and tax registration number (VAT, GST, NTN, ABN — whichever applies in your jurisdiction). If you're a sole proprietor without a registered business, your full legal name and address are sufficient. The tax ID is required for B2B invoices in any VAT/GST regime — without it, your client can't claim the input credit.
6. The client's identity
Bill-to name, address, and (for B2B) their tax ID. Get the company's exact legal name from their contracts or accounts payable team, not the marketing name on their website. "Acme Inc." and "Acme Corporation" are different legal entities and AP systems will reject the wrong one.
7. Line items with descriptions, quantities, rates, and amounts AI drafts in Inbill
One row per deliverable. Description first (specific, not "consulting" but "brand identity, Q2 — research, sketches, final files"), then quantity, rate, and amount. If you bill by the hour, include the hours. If you bill flat, write "1" in the quantity column with the project name in the description. Vague descriptions slow approval; specific ones build trust.
8. Subtotal computed in Inbill
Sum of all line items before tax and discount. Always shown as a separate line so the client can sanity-check the line items add up. If you offer a discount, apply it after the subtotal and before the tax line — discounts reduce the taxable base.

Per-rate tax breakdown. If your invoice has 20% standard-rate items and 5% reduced-rate items, show them as two separate lines so the client (and tax authority) can verify each. 10. Total due
The big number. Larger type than the rest. If a partial payment has already been recorded, show "Total" and "Balance Due" as separate lines so there's no ambiguity. The currency code (USD, EUR, PKR) must appear at least once near the total — for international invoices, prefer the ISO code over the symbol because "$" is ambiguous between USD, AUD, CAD, MXN, etc.
11. Payment instructions set once in Inbill
How to pay. Bank name, account holder, IBAN, SWIFT/BIC for international wires. For domestic, the local equivalents (US: routing + account number, UK: sort code + account, Pakistan: IBAN). If you accept Wise, Payoneer, or PayPal, include those. The clearer the instructions, the faster the payment. Most clients pay the path of least resistance.
Optional but recommended fields
Beyond the 11, four more fields meaningfully improve payment speed and professionalism: a purchase order number (if the client uses POs), payment terms in plain English ("Late fee of 1.5%/month after due date" — enforceable in most jurisdictions if pre-agreed), notes (a thank-you sentence or context for the work), and a footer with your support contact. None are legally required but all are normal in 2026 B2B invoices.
