Best free invoice software for freelancers in 2026 (honest comparison)

A source-checked comparison of Inbill, Wave, Zoho Invoice, Invoice Ninja, and Bookipi: real free limits, regional availability, paid prices, AI features, and the best fit by use case.

There is no universal winner. Pick Wave for unlimited free invoicing plus accounting if you can open a new account in the US or Canada. Pick Zoho Invoice if you already use Zoho. Pick Invoice Ninja if open-source control or self-hosting matters. Pick Bookipi for a mobile-first invoice app. Pick Inbill if you want AI-assisted drafting, specialised PDF formats, 47 invoice currencies, and a small invoice-first workflow. Product pages and limits were rechecked on 12 July 2026.

How this comparison was evaluated

We used each vendor's own pricing, support, or product pages for the facts most likely to change: free allowances, availability, and paid prices. We then compared the workflow a freelancer actually experiences: create a client, draft line items, produce the invoice, share it, and record payment. “Free” is not treated as one score because a regional restriction, annual cap, watermark, or client limit can matter more than a monthly price.

Inbill: best when creating the invoice is the bottleneck

Inbill is not trying to become an accounting suite. Its advantage is the path from plain-language work details to a document: AI-assisted drafts, 47 currencies, seven hand-built PDF formats, partial-payment tracking, email delivery, and a public invoice link. The free allowance resets monthly. Pro removes the cap and ads for $5/month.

Choose it when you send a modest number of higher-value invoices and care about entry speed or presentation. Do not choose it if you need a general ledger, bank reconciliation, payroll, or jurisdiction-specific tax filing.

Wave: best free volume for eligible accounting users

Wave's Starter plan advertises unlimited estimates, invoices, bills, and bookkeeping records. Its current Pro price is $19 USD/month. The decisive restriction is geography: Wave says new accounts are available only to businesses in the United States and Canada. Existing users elsewhere have a different, limited product path.

Choose Wave when you are eligible and want accounting beside invoicing. Choose a different tool when international new-account availability, AI drafting, or specialised invoice documents matter more than the ledger.

Zoho Invoice: best when your workflow already lives in Zoho

Zoho Invoice provides estimates, recurring invoices, a customer portal, and connections to the wider Zoho suite. Its published free limits are regional: for example, the India pricing page lists 500 invoices per year, two users, and three projects. That is useful evidence, not a promise that every country has the same allowance. Check your local page before migrating data.

Invoice Ninja: best for open-source control

Invoice Ninja offers both hosted plans and a self-hosted open-source path. It is the strongest option here when owning the deployment, integrating via APIs, or choosing among payment gateways matters more than having an AI-first workflow. Self-hosting is not “free of cost” if you count updates, backups, email delivery, and your own maintenance time.

Bookipi: best for a mobile-first starting point

Bookipi positions its free tier around invoice creation and mobile use, with paid plans adding more business features. It is worth testing if most of your admin happens on a phone. Compare the current plan table against your volume and payment needs rather than relying on an old app-store review.

Which one should you choose?

  • Need accounting in the US or Canada? Start with Wave.
  • Already use Zoho CRM, Books, or Projects? Start with Zoho Invoice.
  • Want to self-host or customise deeply? Start with Invoice Ninja.
  • Primarily work from a phone? Test Bookipi.
  • Want AI drafting and carefully designed invoice PDFs? Try Inbill.

Create the same real invoice in your top two choices before importing your client list. The best tool is the one whose limits, payment instructions, PDF, and follow-up workflow match your actual business—not the one with the longest feature grid.

Frequently asked

What is the best free invoice software for freelancers?

It depends on the job: Wave for eligible US/Canadian users who also need accounting; Zoho Invoice for Zoho-suite users; Invoice Ninja for open-source control; Bookipi for mobile-first use; and Inbill for AI-assisted, document-first invoicing.

Is Wave available worldwide for new accounts?

No. Wave currently says new accounts are available only to businesses in the United States and Canada. Check its official availability page because existing accounts outside those countries follow different rules.

Is Zoho Invoice really free?

Zoho markets Invoice as free, but published allowances can vary by region. Its India pricing page, for example, lists 500 invoices per year. Check the local pricing and terms for your country before choosing.

Is self-hosted Invoice Ninja completely free?

The software has an open-source self-hosted path, but you remain responsible for hosting, upgrades, backups, security, and email delivery. Include that operating work when comparing cost.
